Responsibilities: POSITION SUMMARY
This position oversees the functions of subordinate medical staff positions and serves as the initial contact for initial appointments. Provides highly skilled support via liaison representation to committees, medical staff departments, physicians, and other hospital personnel. Performs complex, specialized function-related administrative tasks with minimal supervision including coordination of a variety of programs and assisting in budget preparation.

ESSENTIAL FUNCTIONS
1. Coordinates the education of staff on performance improvement processes, regulatory requirements, confidentiality, peer review and credentialing. Adheres to program criteria and implements new policies, procedures and processes. Initiates problem-solving behaviors and evaluates outcomes of actions. Participates in departmental growth and improvement and serves as a role model to staff.

2. Manages and/or oversees all aspects of medical staff committees including compiling agenda material, accurately documenting minutes following regulatory requirements, compiling follow-up memos and letters, researching and preparing information for medical staff leadership, and strictly protecting confidentiality. Provides consultation regarding privileging, credentialing, reappointment, and disciplinary processes as defined in the medical staff bylaws. Coordinates communication of information between medical staff departments, clinical service areas and senior administration.

3. Provides professional assistance and serves as a resource for medical staff members regarding medical staff bylaws, rules and regulations, hospital and medical staff policies, revised state statutes, licensing boards and other regulatory agency standards and parliamentary procedure. Facilitates and drafts revisions and updates to department rules and regulations and privileging criteria to maintain compliance. Coordinates physician training and educational programs sponsored by medical staff services. Provides orientation to new medical staff leaders. May be responsible for GME and/or CME activities.

4. In consultation with supervisor, liaises between medical staff and senior administration, communicating sensitive and confidential issues including peer review and when complaints are logged toward physicians and hospital personnel. Interacts directly with internal and medical staff legal counsel. Uses judgment and discretion to maintain peer review protection to hospital and medical staff.

5. Understands and maintains an accurate, secure and updated database of physician and allied health information to query on demographic profiles including but not limited to staff privileges and status for other hospital departments and facilities requiring this information. Uses various internal databases to gather and analyze physician and allied health data used in the reappointment, peer review and quality improvement processes of the medical staff and board of directors. Serves as an organizational resource for data information related to the organized medical and allied health staff.

6. Oversees, administers and maintains quality controls on all aspects of physician and allied health credentialing and reappointment processes within appropriate timeframes ensuring the quality of the practitioners providing patient care. Assures a thorough and accurate credentialing process by maintaining detailed knowledge of the credentialing process. Exercises judgment and discretion in recognizing legal implications of credentialing functions and medical staff issues. Drafts appropriate correspondence utilizing knowledge of state statutes and legal guidelines in requesting additional information from external medical and legal sources if necessary. Monitors physicians’ progress through the supervision period, assisting department chairs with appropriate procedures, forms and time limits. Ensures that all expired credentials are reviewed, obtained and managed on a monthly basis according to rules and policies. Assists in orientating new medical staff members to hospital protocols and services.

7. Oversees and/or manages the collection and compilation of data for physician and allied health quality profiles to analyze practice patterns using data to determine performance. This includes working with department chairmen, quality staff, and other hospital staff to identify sources of data and methods of presenting and analyzing data. Identifies trends and tracks for management.

8. Oversees the preparation, distribution and maintenance of the physician emergency department call schedules. Maintains knowledge of COBRA/EMTALA regulations and coordinates interface between administration, legal counsel, department chairmen, and the ER to ensure compliance. Facilitates the resolution of call issues as they arise utilizing appropriate resources including but not limited to medical staff leadership chain of command.

Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Qualifications:

MINIMUM QUALIFICATIONS
Must possess a strong knowledge of interpersonal relations and healthcare administration as normally obtained through the completion of a bachelor’s degree in business, healthcare, management, risk management, law, medical records, physician relations, physician practice management, or related field.

Requires Certified Professional Medical Services Management (CPMSM) and/or Certified Provider Credentialing Specialist (CPCS) or 10 years experience in medical staff services and required to obtain certification within 2 years of transferring into this position.

Must possess extensive knowledge of medical staff operations, policies, rules and regulations, regulatory agency guidelines and standards as normally demonstrated through 3-5 years experience in medical staff services. Must possess demonstrated leadership abilities. Requires experience interacting with physicians in highly sensitive situations. Must possess strong verbal and written communication skills. Requires astute judgment in human relations skills to interface and communicate in an articulate manner with medical staff, administrators, legal counsel and hospital personnel. Requires the ability to work with common office software and equipment.

PREFERRED QUALIFICATIONS
Knowledge of medical staff computer software programs is desirable.

Additional related education and/or experience preferred.


HIGHLY PREFERRED: 
Certification and minimum of 5 years of current Med Staff Coordinator experience.
